HTRS 2025 is an exclusive, in-person event offering attendees the opportunity for face-to-face engagement and direct idea exchange with peers and mentors in a team-focused setting. For those seeking a virtual option, session recordings will be available for purchase post-meeting.

INTERNATIONAL ATTENDEES


Make sure you can enter the U.S. before planning your travel.


  • International attendees planning to join us for the HTRS 2025 Scientific Symposium in Coronado, CA, from March 11-15, 2025, are reminded to check visa requirements for travel to the United States. To ensure a smooth application process, we recommend you review the specific requirements and apply for your visa well in advance of the conference dates
  • HTRS is pleased to assist with your visa application by providing a letter of invitation upon registration. This letter will support your application and facilitate your travel plans. To request a letter of invitation, please complete your registration and then email meetings@htrs.org to request a letter of invitation


REGISTRATION DESK


The HTRS registration desk will be located in the Commodore Foyer on the hotel's lobby level


  • Check in, print your name badge, and pick up your lanyard and other conference materials here
  • Each attendee is responsible for printing their own name badge at the registration kiosks
  • This touchless process allows you to scan your registration confirmation QR code, confirm the accuracy of your personal information, and print your name badge
  • HTRS Staff at the registration desk will not be pre-printing or handling badges. Individuals must print their own badges when checking in onsite

EXHIBIT HALL HOURS


Our tented Exhibit Hall ensures high visibility and foot traffic, with strategic placement of posters, food, and beverage services to enhance attendee engagement. Daily scavenger hunts will be hosted to further drive traffic to exhibitors.

EXHIBIT HALL ACCESS


Access to the Exhibit Hall Tent is restricted to those with the appropriate badge and registration is mandatory for all company participants.

  • Security guards will monitor the hall and have the authority to deny entry to anyone without the proper badge and required registration
  • All third-party representatives must be officially registered for the meeting
  • Refer to the Rates page for fees and pricing


POSTER PRESENTATION SESSIONS


Poster Presentation sessions will be held in the Exhibit Hall Tent. Poster presenters must be available to answer questions about their posters during their assigned poster session.

  • Poster Session I: Friday, March 14, 2025 | 2:20 PM–3:20 PM
  • Poster Session II: Saturday, March 15, 2025 | 11:40 AM–12:40 PM


Oral Presentation Guidelines

  • Only authors of accepted abstracts may present posters or give oral presentations
  • Presenters will be notified of their assigned poster session by December 31, 2024


Speed Sessions

  • In addition to in-person poster presentations, HTRS is offering an on-demand "speed poster" viewing room featuring two-minute videos summarizing each poster
  • Registrants can play the videos on-demand at any time throughout the conference



MOBILE MEETING APP


HTRS will be utilizing the My Glue mobile meeting app to enhance your experience at our events.

  • The app allows for custom scheduling, receiving broadcast messages and notifications from HTRS, accessing sponsor/exhibitor content, engaging with other attendees, participating in live social media feeds, and many other features
  • My Glue gives you a new way to engage, network, and receive important information about HTRS 2025, your memberships, and more, even when meeting in person isn't possible

SESSION RECORDINGS

  • HTRS Members receive complimentary access to scientific session recordings post-meeting
  • Individual non-member registrants can purchase scientific session recording access. Refer to the Rate page for fee details
  • Session recordings are not available to industry partners
